Getting paid, explained plainly.

Short pieces about things that happen at the counter every day: QR codes, reconciliation, screenshots, invoices, importing your menu, and using Hensa POS.

Getting paid

  1. 01

A printed QR code vs a QR code per order

The QR sticker on the counter only has your account number. A QR code per order carries the amount and a reference, so customers don’t type and you don’t hunt.

What payment reconciliation is, and how to spend less time on it

Reconciliation means pairing every payment with the order it belongs to. By hand it eats your evening; with references it mostly runs by itself.

A customer sends a transfer screenshot: should you trust it?

A screenshot isn’t money. The safe way is to see the money in your own account, not on the customer’s phone.

E-invoices for household businesses: what to prepare now

Rules for household businesses are moving towards digital records. This isn’t tax advice, just the groundwork that saves pain later.

Items

  1. 01

Importing your menu from Excel or CSV

If your price list already lives in Excel or Google Sheets, don’t type it in again: upload the file to Hensa Dashboard, check the preview, import once. Items you already have are updated, never duplicated.

Using Hensa POS

  1. 01

Pairing your shop’s first POS device

Create an 8-character code in the Dashboard, then type it on the iPad or Android device at the counter. The code works once and expires after 10 minutes.

Adding a PIN-only cashier, and what to do when a PIN locks

Staff without an email can still sell: the owner creates a name and a 6-digit PIN in the Dashboard. Five wrong tries lock the PIN for a while; a manager can unlock it in the Dashboard.

Opening and closing a shift, counting the drawer

Count the change already in the drawer when the shift starts, and the drawer again when it ends. A difference needs a reason; a big one goes to a manager or the owner. A shift never gets stuck.

Underpaid, expired QR codes, and money after a cancel

The usual QR hiccups at the counter: what the device says and what to do. Plus what to do when a customer says "I paid" and the device hasn’t seen it.

Shift orders: finding an order, refunds and cancels

A customer comes back with a wrong drink or changes their mind: find the order in seconds, refund part or all of it three ways, with a manager approving by PIN.

Something sold out mid-shift: "Sold out for today"

Out of pastries or tapioca pearls at lunchtime: press and hold to mark it, and it comes back by itself next morning. Works offline; other registers see it within about a minute.

    Held orders: hold, reopen, drop

A customer is still deciding, table 3 will add more later: put the order aside and serve the next person. Held orders keep their order and never leave gaps in receipt numbers.

Discounts at the counter: whole order, single items, and when a manager is needed

For a regular, a birthday, or making up for a mistake: discount the whole order or one item, or lower a price by hand. From 20 % up a manager enters a PIN when the order is paid; with no manager around you can still sell.

Using a computer as the register

If the counter already has a laptop or desktop, Hensa POS runs in its browser. Pair it once from the Dashboard; after that cashiers just pick their name and enter a PIN.

Selling offline, and removing a device from the shop

When the connection drops, Hensa POS keeps selling for cash and sends the orders up once it is back. Before removing a device, let it send everything first.
