What payment reconciliation is, and how to spend less time on it

It sounds grand, but it’s everyday stuff: is the 150,000 that just came in for table 4, or for this morning’s delivery?

Why doing it by hand is tiring

Payments live in bank messages, orders live in a notebook or in chats with customers. To pair them you read transfer notes, compare amounts and try to remember when people paid.

Several bank accounts means several apps. A note like "sent!" leaves you guessing.

Three things that make it almost automatic

One: every order has its own reference in the transfer note. Two: the amount is pre-filled to the dong, so customers don’t type it. Three: every bank account flows into one place.

With all three, most payments find their order by themselves. What’s left are exceptions, and there are few.

For payments that don’t match on their own

Transfers without the code, wrong notes, short payments: these belong in their own list for you to handle, not mixed into dozens of messages.

How Hensa does it

Hensa Connect matches payments to orders by reference and tells you straight away. Unmatched ones wait under To reconcile; pick the right order and you’re done. Short payments show as partly paid, and Hensa adds up any top-up.
