Opening and closing a shift, counting the drawer

In the morning there is usually some change in the drawer already; at closing time you count it again. Hensa POS asks for both numbers.

Open the shift on the device

After the cashier enters their PIN, if the device has no open shift, the "Open shift" screen appears. Count the drawer, type the amount or tap a quick amount (₫500,000, ₫1,000,000, ₫2,000,000), then press "Open shift".

An empty drawer can be 0. You can open a shift offline too; the device sends it later.

"Open shift" appears after the PIN when the device has no shift open.

A shift belongs to the device, not the person

A device has one open shift at a time. When someone else takes over the counter, they pick their name, enter their PIN and keep selling in the same shift – no recount.

Taking payment before a shift is open gives "No open shift – open a shift before taking payment."

Mid-shift: adding, paying out or taking cash out

At the top of the sell screen there is a "Drawer cash" button. Pick one of three: "Add to drawer" when you put in more small notes for change; "Pay out" when money goes out for the shop, like buying ice or paying a delivery; "Take out of drawer" when you move cash to the safe or hand it to the owner. Type the amount, pick or type a reason, then press "Save".

A reason is required. Paying out or taking out from the owner’s limit (₫500,000 by default) needs a manager’s PIN, and approval needs a connection; below that it is saved even offline. Taking cash out is not an expense, so it doesn’t reduce sales.

If you pay out or take out more than the estimated drawer, the device doesn’t block you; a yellow box says "The drawer only has about … – check the amount." and you choose "Save anyway" or "Change amount".

When you close the shift, the closing screen shows three more lines – added, paid out and taken out – so the expected cash stays right.

Paying out for ice – below the approval limit, so it saves straight away. Figures are a sample.

Closing the shift: count the drawer

At the end of the shift, press "Close shift" at the top of the sell screen. Choose how to count: "Count notes" (type how many of each note; the device adds them up) or "Enter total". Press close before counting and it reminds you: "Count the cash in the drawer before closing".

The device compares what you counted with "Expected cash" and shows "Matches", "Over" or "Short". Hensa works out the expected figure once the device has sent every order; if some are still unsent or you are offline, the device says the number is an estimate.

A difference needs a reason

Any difference needs a "Reason for the difference" before the shift can close, for example "wrong change given".

From the limit the owner sets (₫50,000 by default) the device asks a manager to approve with their PIN. No manager at the counter? Press "Close for owner review". When offline the device goes straight to that option. A shift never gets stuck waiting for approval.

"Done" ends the shift

"Shift closed" sums up orders, sales, cash, bank transfers, refunds, voided orders and the difference. If some orders are still unsent it says "… orders will be sent once online": the shift is closed anyway and the orders follow.

Pressing "Done" signs the cashier out, and offline unlocking stops working for them. The next shift starts with picking a name, entering a PIN and opening a new shift.

See the shift in the Dashboard

The owner goes to Transactions → Shifts. A shift in progress shows "Open". Open it to see the opening cash, cash sales, QR sales and "Expected cash" – what the drawer should hold according to what the device recorded.

A closed shift shows "Balanced", "Short …" or "Over …" in the Difference column; tick "Only shifts with a cash difference" to see just those. If the difference reached the approval limit and no manager approved it at the counter, the owner is asked to check it and "Mark reviewed". Press "View orders of this shift" to see each order.
