Importing your menu from Excel or CSV

Thirty items, most of them in two or three sizes. Typing them in one by one takes an afternoon – and the price list is already sitting in a spreadsheet.

Start from the template

In Hensa Dashboard, open Items and press "Import from file". That screen has a "Download the template" button; you can also get it right here. Open it in Excel or Google Sheets, delete the example rows and fill in your own items.

Importing needs the Owner or Manager role. Each file can be up to 5 MB and 5,000 rows.

Download the template (CSV)The same file as "Download the template" in the Dashboard.

The 7 columns Hensa reads

The first row is the header. Keeping the template’s header is safest – upper or lower case, with or without accents, both work. Column order doesn’t matter, and columns Hensa doesn’t know are skipped.

English headers work too: Item name, Size, Price, Category, SKU, Barcode, Unit.

Saving the right kind of file

An Excel .xlsx file can be uploaded as it is.

A CSV has to be CSV UTF-8, or Vietnamese accents break. In Excel choose Save As and pick "CSV UTF-8 (Comma delimited)" as the file type. Plain "CSV" is not UTF-8; Hensa will say so and ask you to save it again.

In Google Sheets: File → Download → Comma-separated values (.csv). Google Sheets always saves UTF-8, so there is nothing else to pick.

Columns separated by commas or semicolons both work; Hensa works it out from the header row.

Writing prices

Prices are whole đồng. All of these work: "25000", "25.000", "25,000", "25k", "25.000đ". These are reported as errors – Hensa never guesses: "abc", "25,5", "1tr".

Two common mistakes

Row 5 has "abc" as its price, so Hensa says "Invalid price – write a whole number, e.g. 25000, 25.000 or 25k". Row 6 has no item name, so it says "Item name is missing".

A row with an error is simply skipped; the other rows still import. Fixing the file and importing the same file again is fine: items already imported show "Unchanged" and are not added twice.

The red cells are where Hensa will report an error: "abc" as a price in row 5, an empty item name in row 6. Sample data.

Preview first, then import

After you pick a file, Hensa doesn’t import yet – it shows a preview: which rows are new, which update an item you have, which have errors. The preview lasts 30 minutes; after that press "Preview again".

If it looks right, press "Import … items".

The preview of the file above: 4 new rows, 2 rows with errors skipped.

Items you already have

Hensa looks for an item by SKU or barcode first, then by name. Names must match with their accents: "Cà phê sữa đá" and "Ca phe sua da" are two different items; capitals or extra spaces don’t matter.

When an item matches, Hensa updates it from the file; an empty cell keeps the old value.
